1. Our Commitment

Praetoria Roofing & Exterior, a division of the Praetoria Group ("we", "us", "our"), respects your privacy. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the rights you have over it.

We comply with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Saskatchewan privacy legislation. If anything in this policy conflicts with the law, the law wins.

2. Information We Collect

We only collect what we need to quote, schedule, perform, and warranty your project:

  • Contact details — name, email, phone, mailing address.
  • Property details — service address, roof/structure measurements, condition photos and (where used) drone imagery of the work area.
  • Project details — scope, materials chosen, change orders, correspondence, and signed Work Orders.
  • Payment details — invoice records, e-transfer confirmations, and cheque numbers. We do not store full credit card numbers; payments are processed through PCI-compliant providers.
  • Insurance-claim information — only when you ask us to work directly with your insurer (claim number, adjuster contact, scope of loss).
  • Website analytics — anonymized traffic data (pages viewed, device type, approximate region) used to improve the site.

3. How We Use Your Information

We use your information to:

  • Respond to inquiries and prepare written estimates.
  • Schedule, perform, document, and warranty your project.
  • Bill, collect payment, and meet our tax/record-keeping obligations.
  • Communicate scheduling changes, weather delays, and project updates.
  • Coordinate with your insurance adjuster, with your consent.
  • Send seasonal reminders or news only if you opt in. You can unsubscribe from any message in one click.

4. Who We Share It With

We do not sell, rent, or trade your personal information. We share it only with parties needed to deliver your project, and only the minimum required:

  • Material suppliers — to ship products to your address.
  • Subcontracted specialty trades (cranes, electrical) — name and site address only.
  • Payment processors and accounting tools — to invoice and reconcile payments under their own privacy obligations.
  • Your insurer or adjuster — only with your written authorization.
  • Law enforcement or regulators — only when required by valid legal process.

Where service providers store data outside Canada, that data may be subject to the laws of those jurisdictions. We choose providers with comparable privacy protections.

5. Cookies & Website Analytics

Our website uses essential cookies to keep the site functional and a privacy-respecting analytics tool to understand aggregate traffic. We do not run cross-site advertising trackers or sell behavioural data.

You can disable cookies in your browser settings. The site will still work; some conveniences (form pre-fill, etc.) may be reduced.

6. How Long We Keep It

We keep records only as long as we have a clear purpose:

  • Quote-only inquiries that don't proceed: deleted after 12 months.
  • Completed projects: retained for the 10-year workmanship warranty period plus 1 year.
  • Tax & accounting records: 7 years, as required by the CRA.
  • Drone/inspection imagery: deleted at warranty expiry unless you ask us to keep it.
  • Marketing list: retained until you unsubscribe.

7. How We Protect It

We use reasonable physical, technical, and administrative safeguards: encrypted devices, access controls limited to staff who need the data, locked filing for paper records, and secure cloud platforms with two-factor authentication. No system is perfect; if a material breach affecting your information occurs, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.

8. Your Rights

Under PIPEDA you have the right to:

  • Know what information we hold about you.
  • Request a copy of it.
  • Ask us to correct anything inaccurate.
  • Withdraw consent for non-essential uses (e.g., marketing) at any time.
  • Request deletion, subject to legal record-keeping requirements (warranty, tax, etc.).

9. Children

Our services are intended for property owners and managers. We do not knowingly collect information from children under 13. If you believe a child has submitted information, contact us and we will delete it.

10. Third-Party Links

Our site may link to other Praetoria Group divisions, manufacturer warranty pages, or partner sites. Their privacy practices are their own — please review their policies before submitting information there.

11. Changes to This Policy

We may update this policy as our practices evolve. The version posted here on the date you submit information is the version that applies to that submission. Material changes will be flagged at the top of this page.
